Terms of Service

These Terms of Service govern your use of the Holocron platform, operated by SoundIn Limited (SC850719), a company registered in Scotland. By creating an account, you accept these terms in full.

You must be 18 or over to use Holocron. You agree to provide accurate information when creating your account, to use the platform solely for lawful purposes, and not to attempt to access data belonging to other customers. You are solely responsible for maintaining the security of your account credentials and for all activity that occurs under your account.

You are responsible for all activity that occurs under your account. If you become aware of any unauthorised access or use, notify us immediately at hello@holocron.scot. We will suspend accounts where there is reasonable evidence of a security breach, without prior notice where necessary to protect platform integrity or the data of other customers.

Holocron is available on three monthly plans: Core at £89 per venue per month, Professional at £169 per venue per month, and Enterprise at £299 per venue per month. All plans are billed monthly in advance. A valid payment card is required at account creation to activate your 14-day free trial - no charge is applied during this period. Upon trial expiry, billing commences automatically at the rate of your chosen plan. Cancellation takes effect at the end of your current billing period; no refunds are issued for partial months. Annual plans are billed in full at the time of subscription and receive a 20% discount. We will provide at least 60 days' written notice of any price increase.

You retain full ownership of all data you input into Holocron - including incident logs, attendance records, and compliance documentation. We process it on your behalf as a data processor under UK GDPR and the Data Protection Act 2018. We do not sell your data, share it with advertisers, or use it for any purpose beyond delivering the service. For full details of how your data is handled, refer to our Privacy Policy.

The Holocron platform - including its code, design, and content - is owned by SoundIn Limited. Your data remains yours. You grant SoundIn Limited a limited licence to process your data solely for the purpose of delivering the service described in these terms.

We provide the platform on an "as is" basis. We do not guarantee uninterrupted or error-free operation, though we maintain a 99.9% uptime SLA on infrastructure. Our total aggregate liability for any claim arising out of or related to the service is capped at the total fees paid by you in the preceding 12 months. We are not liable for indirect, consequential, or loss of profit claims. Nothing in these terms limits our liability for fraud, death, or personal injury caused by our negligence.

We will provide at least 30 days' written notice by email of any material changes to these terms. Continued use of the platform after that notice period constitutes acceptance of the revised terms. If you do not agree to the updated terms, you may cancel your account before the notice period expires.

These terms are governed by the laws of Scotland. Any disputes arising from or related to these terms or the use of the platform are subject to the exclusive jurisdiction of the courts of Scotland.
